Privacy Policy

This policy covers the inventory.chat website and service.
What we collect
When you sign up, we store what you enter:
- Your email address (required)
- Your shop name, trade, team size and current tooling, if you provide them
- Anything you write in the free-text field
We also record which page you signed up from and any campaign parameters in the URL, so we know which pages and channels are working.
Your shop's data
Your parts, materials, labor rates, formulas, quotes and jobs belong to you. We store them to run the service and for no other purpose. We do not sell them, share them between accounts, or use them as training data for any model.
When you use the chat or connect an AI assistant over MCP, the content of that request is sent to a language model provider so it can work out which operations you asked for. We use providers contractually bound not to train on the data they process for us. The costing calculations themselves happen on our servers, not at the model provider.
What we don't collect
No third-party advertising or analytics trackers, no cross-site cookies, and no fingerprinting. The only cookie this site sets is the one Rails uses to protect the form against cross-site request forgery.
How we use it
To run your account, to help you get set up, and to email you about the product. That's it. We do not sell or rent your details, and we do not share them with advertisers.
How long we keep it
For as long as you have an account, and until you ask us to delete it after that. Every email we send includes an unsubscribe link.
Your rights
You can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Email privacy@inventory.chat and we'll action it. If you're in the UK, EU or California, you have these rights under law; we extend them to everyone regardless.
Where it's stored
In a PostgreSQL database on servers we control, with access limited to staff who need it to operate the service. Where we use a third-party provider — for sending email, or for the language model behind the chat — your data is shared with them only for that purpose.
Export and deletion
You can export your parts, quotes and job history at any time, and close your account whenever you like. We do not hold your costing data hostage as a retention tactic.
Changes
If this policy changes materially, we'll update the date at the top and email account holders rather than quietly editing the page.
